WCND 2026 Pre-Registration Guidelines

(World Congress of Natural Democracy 2026, India)

1. Registration & Payment

• Online registration is mandatory to confirm participation.
• Preferred payment: Credit Card (Visa, MasterCard, Amex).
• Alternative payment: Bank transfer (accepted until 28 July 2026).
• All payments must be made in USD. Currency conversion charges, if any, are the responsibility of the participant.

Co-Authors

• A maximum of two (2) co-authors may be listed per paper.
• Each co-author must complete separate registration and full payment.
• Unregistered co-authors will not receive certificates, access credentials, or official listing.

Accompanying Persons

• A maximum of three (3) accompanying persons may be registered per primary delegate.
• Additional accompanying persons may be permitted only under exceptional circumstances (e.g., Head of State, diplomatic protocol, or special institutional cases), subject to prior written request and written confirmation by the Secretariat.
• Children under 5 years of age may accompany free of charge (no badge, seating guarantee, kit, or certificate entitlement).
• Upon successful payment, a registration summary will be emailed.
• One month before the Congress, a confirmation email containing a QR code will be issued for on-site badge printing.

2. Name Changes

• Permitted only during pre-registration; not accepted on-site.
• Must remain within the same registration category.
• Any fee difference must be paid by the new delegate. No reimbursement will be issued if the original fee was higher.
• Requests must be submitted via email by the registration holder.
• Fee: USD 20 per change (valid until 31 July 2026).

3. Visa Letters

• A formal email request must be submitted to the Secretariat.
• Visa letters will be issued strictly according to official registration records and confirmed payment status.

4. Cancellation & Refund Policy

All cancellation requests must be submitted in writing via email, including full name, registration number, category, contact details, and genuine reason (letter/PDF attached).

Refund Eligibility:

• GST, bank charges, and payment gateway fees are non-refundable.
• Discounted, complimentary, and on-site registrations are non-refundable.
• No refunds for non-attendance, partial attendance, or uncollected materials.
• Eligible refunds will be processed within 30–40 working days, no later than 31 December 2026, via the original payment method.
• The Organisers are not responsible for bank or payment processing delays.

Force Majeure

In the event of natural disasters, government regulations, pandemics, travel restrictions, or other circumstances beyond reasonable control, the Organising Committee may reschedule, modify, or adjust the Congress or registrations. No cash refunds shall be issued under such circumstances.

Final Authority

All decisions of the WCND Organising Committee are final and legally binding.

5. Important Administrative Notes

• Incorrect registrations or payments are non-refundable.
• Reprinting of lost, stolen, or forgotten badges on-site costs USD 20.
• Social events, workshops, and additional services follow the same cancellation policy unless otherwise stated.
• Registration is non-transferable unless formally approved in writing before 31 July 2026.

6. Registration Scope & Categories

Registration is required for all participants, including:

• Paper presenters
• Poster presenters
• Session chairs / panelists
• Academic and non-presenting delegates
• Students and research scholars
• Observers / general participants

Categories

• Faculty / Academic Delegate
• Research Scholar / Student
• International Delegate
• Indian Delegate

Misclassification may result in delay or invalidation of registration.
Registration confirms administrative participation and is distinct from academic acceptance.

7. Registration Fees

• Fees vary by category and participation mode.
• Full payment is required to validate registration.
• Participants must refer to the latest official circulars or the Registration Fees Framework before making payment.

Multiple Submissions

• One registration covers one accepted paper or poster only.
• A second accepted submission may require an additional 50% registration fee, as specified in official circulars.

Accompanying persons do not receive access to scientific or academic programme sessions.

9. Programme Modifications

The Organising Committee reserves the right to modify the programme, speakers, schedule, venue, format (physical/virtual/hybrid), or related arrangements if necessary.

10. Certificate Issuance

Certificates will be issued only to registered participants who:

• Complete full payment
• Attend the Congress (as applicable)
• Comply with Congress policies and procedures

Certificates may be issued in digital and/or physical format as notified.

11. Code of Conduct

All participants are expected to:

• Uphold academic integrity and ethical standards
• Respect diversity of disciplines, cultures, and viewpoints
• Maintain professional conduct
• Comply with instructions of the Organising Committee

Violation may result in cancellation of registration without refund and possible removal from Congress activities.

12. Data Protection & Media Consent

By registering, participants consent to:

• Collection and processing of personal data for administrative, communication, certification, and archival purposes related to WCND 2026.
• Receiving official Congress communications.

The Organising Committee may photograph, record, or livestream sessions for academic, archival, and promotional purposes. Participants who do not wish to appear in official media must notify the Secretariat in writing prior to the Congress.

13. Liability Disclaimer

The Organising Committee shall not be liable for:

• Personal injury, illness, loss, theft, or damage to property
• Travel disruptions, visa denials, accommodation issues, or transportation delays

Participants are solely responsible for arranging appropriate travel, medical, and insurance coverage.

14. Intellectual Property

Authors retain intellectual property rights to their work.
By submitting abstracts or papers, authors grant WCND 2026 the non-exclusive right to publish, reproduce, and archive the work in official Congress records, proceedings, or related academic documentation.

15. Declaration (For Registration Form)

I confirm that I have carefully read and understood the WCND 2026 Registration Guidelines and agree to comply with all policies, regulations, and procedures established by the Organizing Committee.

16. Committee Members (Internal Provision)

• Governing Council, Secretariat, and official Committee members must complete formal registration.
• Registration fees shall be waived or adjusted as notified.
• Registration period: 29 July – 21 August 2026 (strictly reserved for Committee members only).

Exclusions

The registration fee does not include the following:

• Accommodation and travel expenses, including local transportation and tours
• Optional tours, guided walks, or ticketed special events (including the gala dinner, where not explicitly included)
• Physical souvenirs, ISBN books, or printed conference materials (digital versions are included)
• Optional workshops or certification programmes requiring additional fees
• Meals and catering services (including night dinner), unless explicitly stated as part of a specific registration package
• Printed photographic products (only digital event photographs are included)
• Visa fees, insurance, and personal expenses
• Courier or postal charges for optional printed materials or certificates (if applicable)
• *Bank charges, foreign exchange conversion fees, or payment gateway charges

All inclusions and exclusions are subject to change and will be governed by the final registration package selected.

Note

Registration fees are identical for both physical and virtual participation.

By registering for or attending WCND 2026, participants acknowledge that photographs, audio, and video recordings may be taken during the Congress for academic, archival, documentation, and promotional purposes.

Such materials may be used in official publications, reports, websites, and digital communications of WCND. All recordings remain the property of the Organising Committee. No financial compensation shall be payable for authorised use.

Participants who do not wish to appear in official media must notify the Secretariat in writing prior to the Congress. While reasonable efforts will be made to respect such requests, incidental background inclusion in public areas cannot be entirely excluded.
